Frequently Asked Questions?

What's so different about Teleos?

One of the main features of the software is the ease with which it can be customised to suit individual practices.  This ensures that all clinicians conform to practice protocol and that you comply with current legislative requirements. Treatment entry procedures can be designed to allow the clinician to add priced items and then release the client to reception to pay. Whilst payment is being taken, the clinician can finish adding clinical notes. This can greatly improve the flow of clients through the practice.

Each user can have their own set of text abbreviations for rapid note entry. Template diagrams are also available and pictures and radiographs can also be stored in an animal’s record card.

Client communication can be greatly enhanced using the Teleos system. Bills can be produced on A4 or A5 size paper with practice logos and additional information, such as vaccination recall dates and bespoke notes, being added automatically. You can even send your invoices via e-mail, saving time and money.

It is also simple to create personalised letters, e-mails or send SMS text messages to the clients’ mobile phone.

Extensive management reports are available in the system to track practice and individual practitioner performance. In addition to standard reports, Teleos also includes a powerful report wizard that allows bespoke reports to be generated for virtually any combination of search criteria that you require. Search results can be viewed on screen, printed to paper or labels, exported to spreadsheet format or to a mail-merge file for generating letters.

The result of these tools is that you can use your data to great effect for financial modelling, marketing and clinical auditing.

What if I have branch surgeries? top

Branch surgeries are directly connected to the server at the main site across a secure broadband connection.

Whilst broadband has proven to be a very cost effective and reliable solution, there may be times when there is a problem with the line. For this reason, Teleos users have at least one backup PC at each surgery that holds a copy of the main database. In the event of a line failure, these PCs can be used as normal. When the connection is re-established, the branch database is synchronised back with the main database, transferring all work that has been added.

Synchronisation is also an excellent way to add notebooks to your system which can be used at home or when you are away from the practice. A replica copy of the database can be held on any number of notebooks.

You can also provide practice staff with the ability to use the system from home across a remote broadband connection.

Will my software become obsolete? top

Teleos has a policy of continuous product development, with all users able to play an active role in the development of the program. Not only does this ensure that Teleos remains at the leading edge of practice management computing, it also protects your practice investment.

All users receive regular program updates as part of their software support agreement, free of additional charge or annual licence fee.

Must I buy my hardware from Teleos? top

Historically, practices have had no real option other than to get everything from one supplier – and usually pay a high premium in the process. Because of the standardisation of Windows, ease of fault finding and the design of Teleos, you now have a choice.

Teleos can install the entire system based on high quality hardware from Dell, or we can install software on a pre-installed network maintained by a supplier of your own choice. Whichever way you choose, we will provide assistance at every stage – ensuring that you get the best possible system at a price you can afford.

What if I already have a system? top

Teleos has successfully converted practices from virtually every other system available in the UK and Ireland, including full data conversion.

Before committing your practice to upgrading to Teleos, we are pleased to offer a dummy data conversion, free of charge. This will give you the confidence that the changeover from your system to Teleos can be made as trouble free as possible.

Who configures my system? top

Whichever management software you choose for your practice, there is a considerable amount of work that needs to be done before you can go ‘live’.  One of the main tasks is to input your fees and drugs pricelists – which can easily take 2-3 weeks of work. As part of the commissioning process, Teleos staff will input these for you.

What about Training? top

Computer knowledge in your practice may range from the complete novice to the very proficient. The Teleos training program is designed to take every member of staff to a level where they can use the program confidently and efficiently.

Full training is provided at your practice for all staff, or as required across a remote link to our support and training centre. Jargon free manuals are provided for each member of the practice.

In order to ensure the smooth transition to Teleos, a trainer will also be on-site on the day of going live.

Advanced courses, such as practice manager training, are run regularly at the Teleos support and training centre in Birmingham. Courses are also run in Ireland.

What about Support? top

On-going support is a vital factor in the successful implementation of a practice management system. Sadly, it is often under-estimated in the selection procedure.

The company has invested heavily in its support infrastructure. We maintain an excellent ratio of  support staff to clients – enabling us to take a pro-active role, not simply fire-fighting problems as they arise.

Teleos support staff can access all Teleos clients systems across a broadband connection. This enables us to get onto your network to diagnose problems remotely or make configuration changes. We can also see the Windows desktop on any workstation and control the keyboard and mouse. This is ideal for showing your staff how to run parts of the program that they may be unfamiliar with.

Teleos support staff are also available to create individual SQL reports and on-line training sessions are also available. These services are provided at no additional charge.

How much does it cost? top

We appreciate the financial demands of running a veterinary practice and are confident that we offer exceptional value for money. Support fees are based on the size of your system and we do not charge anything extra for any software support functions. We also believe that, when you invest in a Teleos software licence it is available to you for life – we do not expect you to pay for it again year after year. Regular program updates are provided at no additional charge as part of our support service.

Because you are free to choose hardware from a number of sources at the standard market rate, a complete Teleos system offers excellent value for money and probably costs a lot less than you think.  We will be pleased to provide a detailed quotation on request.
